Food & Beverage Administrative Supervisor

Job Summary

Los Poblanos is a dynamic family-operated business dedicated to hospitality, farming and sustainability. The F&B Administrative Supervisor position provides administrative support to Campo management and staff.  It includes providing support and facilitating communication with all departments of Los Poblanos as it relates to the Food and Beverage operations.

Duties & Responsibilities

  • Handle all administrative needs of restaurant 
  • Weekly updating and printing of menus for bar, restaurant, private dinners and celebrations
  • Update specials and new menu items in POS system
  • Assist with re-ordering of par levels of napkins, candles, and FOH supplies
  • Gather and organize all invoices
  • Handle cash drop to Finance
  • Provide administrative support for the Restaurant and occasionally (based on needs) the kitchen
  • Oversee all restaurant reservations, including Private Dining in Cellar Room and Ventana
  • Communicate with Events Team on determining proper location of small dining events
  • Oversee service staff in the absence of restaurant managers
  • Scheduling trainings
  • Assist staff in training on time keeping, updating missing punches when needed at time clock - ensure all employees are trained and setup with how to clock in and clock out
  • Communicate with Front Desk reservationists with guests’ needs
  • Work with Culinary Leadership Team to maximize reservations while ensuring smooth service
  • Assist managers with inventory
  • Coordinate and maintain vendor and supplier information
  • Submit and follow through with maintenance requests
  • Assist with special projects as assigned

Essential Job Functions

  • Communicate with guests and internal departments for reservations management
  • Coordinate with Inn and Events to complement guest requests for restaurant experience
  • Manage clerical or administrative activities
  • Order materials, supplies, or equipment
  • Provide supervision for restaurant service staff when managers not present

Requirements

  • High School Diploma or equivalent is required
  • 2-5 years administrative or office management experience or job-related experience in fine dining operations or upscale hotel/restaurant
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships within departments
  • Excellent written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player and effective independently
  • Demonstrated ability to meet deadlines in a fast-paced environment
  • Relevant food hygiene/health and safety licensing qualifications; food handlers permit desired
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat

Preferred

  • Prior experience in the Food and Beverage industry
  • Management/supervision experience is a distinct advantage
  • Interest in organic farming, agriculture, art and architecture is a plus
  • Experience with ResortSuite software a plus
